The Grove Sanctuary: Membership Terms & Conditions
Welcome to The Grove Sanctuary at Amber Grove Aesthetics! To ensure you get the absolute best out of your skincare journey and to help our clinic run smoothly, please read the following terms and conditions regarding your membership.
1. Membership Commitment & Payments
- Minimum Term: All Grove Sanctuary memberships require a minimum commitment of three (3) months. This ensures we have enough time to begin making real, visible changes to your skin.
- Monthly Billing: Your membership fee will be charged automatically on the same date each month via Direct Debit/Stripe (the date you originally sign up).
- Failed Payments: If a monthly payment fails, we will attempt to process it again. If the payment remains outstanding, your membership benefits (and any upcoming appointments) will be paused until the account is brought up to date.
2. Treatment Cycles & "Rollovers"
Because your payments are monthly but your treatments are on 4-week, 6-week, and 12-week cycles, we use a flexible "use it or lose it" system with a grace period to keep your skin on track and prevent our diary from becoming overbooked.
- Scheduling: It is the member's responsibility to book their appointments in advance to secure their preferred dates.
- Rollover Policy: We understand life gets busy! If you cannot make it in for your scheduled treatment cycle, you have a 2-week grace period to redeem that specific treatment.
- No Banking: Treatments cannot be "banked" or accumulated indefinitely. If a treatment is not used within its cycle plus the 2-week grace period, it will expire.
- Non-Transferable: Memberships and their included treatments are strictly for the named account holder and cannot be gifted or transferred to friends or family.
3. Clinic Cancellations & No-Shows
Your membership secures dedicated time in our clinic diary just for you.
- Notice Period: We require a minimum of 48 hours’ notice to reschedule or cancel any membership appointment.
- Late Cancellations & No-Shows: If you cancel with less than 48 hours' notice, or do not show up for your scheduled appointment, that treatment will be forfeited and deducted from your current cycle's allowance.
4. Membership Perks & Discounts
- Retail & Treatment Discounts: Your specific tier discounts (10% or 15% off skincare, and 10% off clinic-wide treatments for Bloom members) are valid as long as your membership is active. These cannot be combined with other seasonal clinic offers or sale items unless explicitly stated.
- Birthday Add-on: Your complimentary birthday add-on must be redeemed during your birthday month and combined with one of your scheduled membership facials. It cannot be exchanged for cash or products.
5. Upgrading, Downgrading, or Cancelling
- Changing Tiers: You can upgrade your membership tier at any time! If you wish to downgrade, you may do so after your initial 3-month minimum term is complete.
- Cancellation Notice: After the initial 3-month minimum term, you may cancel your membership at any time by providing 30 days' written notice via email to [Insert Clinic Email Address].
- Final Payments: If your regular billing date falls within that 30-day notice period, one final payment will be taken, and you will have 30 days to use your remaining accrued benefits.
